Capacity is one of the first questions on any group booking and one of the easiest to get wrong. The goal is simple: everyone who is coming has a place to sit, and nobody is left out on the kerb. This guide shows you how to count, what the listed numbers mean and what to confirm.
What is the capacity of the party bus?
On our current listing the bus seats up to 20+ people. The precise figure is confirmed with your quote, because it is tied to the vehicle assigned to your date. If your group is larger, the group coach is listed for up to 56 passengers and is quoted on request through group transportation. The party bus fleet page describes the vehicle itself.
How do you count your group?
Do not rely on the number of people who said yes in the chat. Work through it step by step:
- List everyone who is definitely coming.
- Add the people who are probably coming.
- Add partners, plus-ones and anyone joining at a later stop.
- Leave a small buffer if the group is still growing.
- Round to a number you can tell us, and say how firm it is.
If you are close to the listed limit, tell us. It is better to size up early than to find out at pickup.
Seats versus standing room
A party bus is designed for socialising, so it can look roomier than the seating count suggests. The figure that matters is how many passengers the vehicle is set up to carry, and that is the one we confirm. Plan so that every rider has a seat, and treat any open floor as extra comfort, not extra capacity. If you want to know what is allowed for your vehicle, ask when you request the quote.
What about luggage and gear?
| Situation | What to tell us |
|---|---|
| Airport or overnight trip | Number and size of bags |
| Wedding party | Garment bags, decor, a cooler |
| Sports or concert group | Banners, bags, folding chairs |
| Pure night out | Usually just coats and small bags |
Bags change the vehicle choice. A group of a certain size with suitcases may do better in a larger vehicle, or with a second vehicle for the bags.
When should you pick a limo or coach instead?
Smaller groups sometimes fit better in a stretch limousine, which is listed for up to 8 to 10 passengers, or a luxury SUV, listed for up to 6. Larger groups point toward the coach. Two comparison guides, limo versus party bus and coach versus party bus, help you decide.
What should you confirm with any company?
- The listed passenger capacity for your exact vehicle
- Whether that figure counts seated passengers only
- How the driver and any staff are counted
- Rules on children and child seats
- Space for luggage, decorations and gear
- What happens if your headcount rises before the date
How does this affect your quote?
Headcount decides the vehicle, and the vehicle is a core piece of the quote. For more on that link, read what affects party bus cost. When you are ready, send the date, route and headcount through the quote form, or call +1 647 477 1520.
